Company Knowledge
Bring the information your team trusts into a shared business context for agents and workflows. Define what belongs there, who owns it and what happens when an answer is not clear.
Shared business context
Company Knowledge organises approved information and operating rules around the work in scope. It helps an agent use business context instead of relying on generic assumptions.
Select the information needed for the particular enquiry or task.
Identify the person or team responsible for each source.
Check the information before it is used in a workflow.
Define when the system should stop and ask a person.
Information sources
The exact source set is agreed for each implementation. AgenCRM does not assume a connector, file type or automatic synchronisation method.
Approved details about products, services and the options a team supports.
Reviewed answers to recurring customer or staff questions.
Rules that shape what can be said, promised or escalated.
The steps, owners and decision boundaries used in the workflow.
Ownership and updates
Useful information needs an owner, a review decision and a clear place in the workflow. Updates should replace or retire outdated guidance deliberately.
Choose the information that belongs in the defined workflow.
Name the business role responsible for its accuracy.
Check the content, limits and intended audience before use.
Group the information so the relevant context can be found.
Review changes and remove guidance that should no longer be used.
From question to response
The workflow identifies the request, brings in the relevant approved context and prepares a response within the role's boundaries. It should not invent an answer when the information is missing or unclear.
Missing and conflicting information
Not every question has one clear source. Define what the system should do when information is unavailable, outdated or inconsistent.
Say that the answer is not available from the approved context and route the question to the right owner.
Use the agreed source priority or pause for review instead of choosing silently.
Provide the available context and keep the decision with the authorised person.
Illustrative example
This conceptual example shows the reasoning path. It is not a live answer or connected customer conversation.
Customer question
Which service option may suit a five-person field team?
Approved source context
Approved service guide: team size, requirements and option boundaries.
Proposed response
The guide lists the options relevant to this team size. I can explain their approved differences or help prepare a follow-up with the team.
Implementation scope
Source preparation, ownership and review are part of the platform configuration. Connections to existing tools or additional knowledge processes are assessed as custom implementation work.
Start with one knowledge set
Bring one recurring question and the business sources your team relies on. We will help map the owners, rules and response path.
