Practical guide

Prepare your company knowledge.

Give an AI workflow a reliable starting point by organising the information people already use, naming its owners and making uncertainty visible.

Why this preparation matters

Useful answers depend on usable source material.

Company knowledge is more than a folder of documents. It needs a purpose, an owner and a decision about which source takes priority when information differs.

Scope note: This preparation method does not imply automatic synchronisation, citations, specific connectors or file-format support.

Five steps

Work through the decisions in order.

  1. 01

    Start with questions

Collect the recurring questions the workflow should help answer. Group them by customer journey or operating task.

Ask: Which questions should receive a direct answer, and which should go to a person?

  2. 02

    Identify the sources

For each question, name the approved material people currently rely on, such as service information, policies, process instructions or structured catalog data.

Ask: Where does the team find the answer today?

  3. 03

    Assign owners

Name the person who can approve, update or retire each information area. Ownership should follow business responsibility.

Ask: Who decides that this information is current and safe to use?

  4. 04

    Resolve conflicts

Record which source wins when two versions disagree. Remove obsolete copies or label them clearly so they cannot silently guide an answer.

Ask: What is the approved source of truth, and what should happen when it is unclear?

  5. 05

    Prepare example questions

Create realistic questions with expected answers, missing facts and escalation cases. Use them to review relevance and boundaries.

Ask: Can the team recognise a useful answer and an honest handoff?

Illustrative example

Illustrative example: service availability question

This example is fictional and contains no customer information.

Process
A customer asks whether a particular service is available in their area.
Inputs
Approved service coverage information and the operating rule for locations not listed.
Owner
Service operations owner.
Outcome
Answer from the approved coverage source, or state that confirmation is needed and route the question to the team.
Initial test
Check a covered area, an excluded area, a spelling variation and a location missing from the approved source.

Working checklist

You are ready to discuss scope when these pieces are clear.

  • Recurring questions grouped by workflow

  • Approved source for each information area

  • Named content owner and review responsibility

  • A rule for conflicting or missing information

  • Examples of safe answers and human handoffs

  • A repeatable update and review process

Prepare the context

Make the source and owner clear before connecting the workflow.

A focused knowledge review can reveal what is ready, what conflicts and what needs a human decision before implementation.
