Why this preparation matters
A good first workflow is narrow enough to understand.
The aim is not to automate everything. Choose one process where the current path is visible, the information can be prepared and a person can judge whether the result is useful.
Scope note: Use this guide for discovery. It does not establish that a channel, integration or action is available in AgenCRM.
Five steps
Work through the decisions in order.
- 01
Find the repetition
List work that happens often, follows a recognisable pattern and currently consumes attention or loses context.
Ask: What request appears repeatedly, and what happens each time?
- 02
Define the inputs
Record the questions, approved information, customer-supplied details and system access the process actually needs.
Ask: What must be known before anyone can take the next step?
- 03
Name the owner
Choose the person responsible for the process, its rules and exceptions. Automation does not remove accountability.
Ask: Who approves the process and handles an uncertain or sensitive case?
- 04
Describe the outcome
State the useful result in plain language, such as a prepared answer, structured request or clearly routed handoff.
Ask: What should exist at the end, and who uses it next?
- 05
Plan a practical test
Use realistic examples, including incomplete and conflicting information. Review usefulness, boundaries and handoff before expanding scope.
Ask: Which normal, difficult and exception cases will the team inspect?
Illustrative example
Illustrative example: service enquiry intake
This example is fictional and contains no customer information.
- Process
- The same service questions arrive through a chosen channel and the team repeatedly asks for basic job details.
- Inputs
- Approved service information, location, type of work and preferred contact details supplied by the enquirer.
- Owner
- Service enquiry coordinator.
- Outcome
- A relevant answer plus a structured handoff containing the details needed for review.
- Initial test
- Ten synthetic enquiries covering a standard request, missing information, an unavailable service and a request that needs a person.
Working checklist
You are ready to discuss scope when these pieces are clear.
One process with a clear beginning and end
Approved information and allowed inputs
A named business owner
A defined useful outcome
Normal, difficult and exception test cases
A human handoff and correction path
